Microsoft Education: Schedule Teams Meetings In Canvas
Important: Currently, there is an issue with scheduling reoccurring meetings through the Canvas app. This issue has been submitted to Microsoft and we expect a resolution shortly. We apologize for the inconvenience.
Note: This guide assumes Microsoft Education has already been set up in your course. If not, follow the setup guide to enable Teams Meetings in Canvas.
The Teams Meetings app, located within the Microsoft Education integration, allows you to schedule and manage Microsoft Teams meetings directly from Canvas. This guide covers how to schedule, edit, and manage meetings without leaving Canvas.
Accessing Teams Meetings
Within the Microsoft Education menu in your Canvas course, select Teams Meetings.

Understanding the Teams Meetings App Interface
The Teams Meetings app organizes meetings into four tabs:

Upcoming: Shows upcoming meetings scheduled by anyone in the course through the Canvas app

My meetings: Displays meetings scheduled by you within the Microsoft Education app

Previous: Shows past meetings scheduled through the Canvas app

Attendance: Displays attendance charts for meetings you organized or co-organized (instructors only)

Important: This app only shows meetings scheduled from within the Canvas Microsoft Education app. It does not display meetings scheduled from Outlook, the Microsoft Teams web/desktop app, or from the Link Creator app in the Canvas Rich Content Editor.
Scheduling a Meeting
To schedule a meeting, select New Meeting and complete the form with your meeting details:

Title: Add a descriptive title that helps attendees understand the meeting purpose

Invite attendees: Manually add email addresses to invite individuals to the meeting. Ideal for attendees outside your course, but if the intended audience of the meeting are course members, use options 3 or 4 below

Add entire class: Instantly adds your entire course roster to the invite list

Allow anyone in the course to join: Recommended for most meetings. This removes the need for individual invitations and makes the meeting visible to all course members

Date/time: Set the meeting date, start time, and duration

Time zone: Set the appropriate time zone for attendee calendars

(Currently not functioning) Make recurring: Enable if the meeting repeats, then set start/end dates and recurrence pattern

Details: Add meeting notes or agenda to help attendees prepare

When finished, select Save to schedule the meeting. You'll find it in the Upcoming or My meetings tabs.

Use Meet Now to Instantly Start or Share a Meeting
Sometimes you may need to start a meeting quickly or generate a link on the fly. The Meet Now option in the Teams Meetings menu lets you do just that. Click the arrow next to New Meeting, then select Meet Now to start an instant session.

You’ll have the option to rename the meeting before it begins. You can either select Start meeting to launch it immediately, or choose Get a link to share to copy a meeting link you can send to the class or individuals.

Editing a Scheduled Meeting
To modify an existing meeting, find it in the Upcoming or My meetings tab and select Edit next to the Join option.

Canceling a Scheduled Meeting
There is no direct cancel option within the Teams Meetings app. Use one of these methods:
Method 1: Remove All Attendees
Edit the meeting and remove all attendees. This adds "Canceled:" to the meeting title for removed attendees.

Method 2: Cancel Through Outlook or Teams
Meetings scheduled in Canvas appear in your Outlook and Teams calendars. Navigate to the meeting in either app and cancel it there.

Frequently Asked Questions
Who can schedule meetings in the Teams Meetings app?Anyone enrolled in the course can schedule Teams meetings through this app. Students can schedule meetings with peers, but they don't have the "Allow anyone in the course to join" option, so their meetings won't appear for others unless they're explicitly invited.
How can I tell who scheduled a meeting?Each meeting tile displays "Organized by..." to show who scheduled the meeting.
Can I map attendance to grades?No. The attendance tab provides an overview of meeting participation but cannot pass grades back to Canvas. For graded attendance, we recommend using the Roll Call Attendance feature alongside your Teams meetings.
Where can I adjust Meeting Options or additional features like Breakout Rooms?Unfortunately, meeting options and additional settings cannot be adjusted from within the Canvas interface at this time. To configure these options, open the Microsoft Teams or Outlook (Mail) app, locate the meeting on your calendar, and manage settings from there. This functionality is planned for a future update.
