New Self-Service Student Profile - Frequently Asked Questions
What is the Banner 9 Student Profile? The Student Profile provides students with a one-stop view of data including holds, registered courses, billing information, and financial aid. How can the Banner 9 Student Profile be accessed? The Student Profile can be accessed through Cardinal Apps by clicking on the following application. Have all Self-Services functionally been converted over to Banner 9? There are certain functionalities that are available in Banner 9 and others in Banner 8. The majority of the services are available and accessible on the left side of the Student Profile underneath the Additional Links Portion. Has Banner 8 Self-Service been retired? Banner 8 Self-Service is still available in Cardinal Apps and will continue to be available in parallel with the Banner 9 Student Profile. A future retirement date will be announced and communicated to the community once all services have been converted to Banner 9. What are some advantages of the new Student Profile for students? 1. The layout is mobile friendly. 2. In a single location the student can see or access the following items: Biographic and contact information View Grades Academic Transcript Registration Status and Holds Enrollment Verification Cardinal Cars Student Schedule Degree Works Proxy Services Graduation information Curricula and GPA Registered Courses Finances Tuition and fees Scholarship and financial aid Who can access Banner 9 Student Profile? At this time, the only Pilot Cohort is the Current and Re-admit students and should be the only ones that have access to this application. All other populations will continue to be routed to the same applications as before. Slowly, each population will be routed to the new application. What does the Final Grades Section display? Final Grades is where students will be able to view final grades once faculty have reported grades to the Office of the Registrar after the end of final examinations. Final grades displayed here are by term and only display once the term has ended. Calendar Deadlines are available at the following link. Current Academic Calendar and Deadlines | Registrar | University of the Incarnate Word (uiw.edu) Who is my advisor? You will see a list of advisors rather than your primary advisor. The vendor is aware of the defect and is researching to fix the issue. If you are needing to see who is your primary advisor, you can route back to Banner 8 Self-Service by logging into Cardinal Apps, and clicking on the Banner 8 Self-Service App. If you have any questions concerning your advisor or advising, feel free to contact the University Advising Center at (210) 805-5814 or advising@uiwtx.edu. Where is my advisor's information? If you know who your advisor is and need to contact them then, you can view their contact information by simply clicking on their name and their information will display. Updating Address Information in Banner 9 My Profile
1. Login to Cardinal Apps (https://apps.uiw.edu/) 2. Click the Banner 9 My Profile App in the "Cardinal Apps - Banner" tab 3. Select Personal Information 4. Scroll down to the Address section > click the Pencil icon under UIW OFFICE 5. Type in the correct office location in Address Line 3. It MUST be in Address line 3. 6. Select UPDATE and you have updated your office location If you have any issues logging into Banner please contact the help desk at 210-829-2721. Degree Works 5.0.6 Upgrade - STUDENT GUIDE
**Please note screenshots display test data from a test environment** The Degree audit system will be upgraded on March 17, 2022 to include new features with a new design. Previously known as the “Classic Dashboard” is now referred to as a “Responsive Dashboard”. This new modern version brings a friendly student dashboard with a fresh and neat look for advisors and students to view academic progress. What should you expect? A new modern design, mobile-friendly interface and is ADA compliant for accessibility. In the new responsive dashboard, only the fields with information will be displayed. Degree Audit (Worksheets) Functionality The last date and time that the audit was refreshed can be found in the upper left on top of the first block. In the first block, you will find the student’s Student ID number and name. The Degree drop-down box is where you can toggle between degrees and certificates if the student is working on more than one degree and/or certificate. The student’s level, classification, major, minor (if any), program, concentration (if any), and college are found in the upper block as well. Additionally, Academic Standing as well as any Holds the student may have are also found in this block. Above the next block is where you pick the type of audit you wish to run. Academic is the primary audit. It is what you will see when you login to your Degree Works. Another choice all students will have is a What-If audit. Students may have other choices based on their individual record like the ones shown below. As you move to the right, you will find the degree progress wheel. This shows the student’s current overall GPA. Just below the second block is the date and time of the current degree audit. The audit will check each evening to see if the student had a grade, registration, or test score change. If any changes are found, a new degree audit will generate. Degree Audit Legend The Degree Works symbol legend can be found at the end of the degree audit. So, while this is presented out of order compared to the flow of the audit, it’s important to understand the symbols used before going into the degree audit requirements. • Complete (green circle with a checkmark)-requirement is met. • Not complete (open red circle)-requirement is not met • Complete except for classes in-progress (half-filled blue circle)-requirement being met with current, future, or incomplete classes • Nearly complete-see advisor (yellow circle with exclamation mark)-requirement that is not satisfied but there are no specific classes assigned to address it such as a GPA issue. • Prerequisite (blue clipboard with a check mark) – there is a prerequisite for the course listed • Any course number (@)-wildcard to represent any missing applicable number. For example, COMM @ means any COMM course while ACCT 3@ means any 3000 level ACCT course • Repeated class (R)-Found in the Audited, Failed, Dropped, Repeated sections on classes that have been excluded due to be repeated. Additionally, at the overall block level, the “Complete” symbol is replaced by the word “Complete” in a green box, the “Complete except for classes in-progress” symbol is replaced by the word “In-Progress” in a blue box, and the “Not Complete” symbol is replaced by the word “Incomplete” in a red box. Degree Audit Block Structure and Type There are several types of blocks. Each block will display the catalog year it is operating from just below the block title. The completion status of the block is displayed to the right of the block title as incomplete (red text), in-progress (blue text), or complete (green text). • Degree Block-This is the requirement that monitors everything needed to complete the degree. This includes all other blocks. • University Success Block – This monitors the completion of the University Success course as well as containing information on who is required to take this course. • Core Requirements Block – This is found on undergraduate audits only. This block shows the state core as well as any other core requirements specific to the student’s degree • Major, Minor and Concentration Blocks – monitor courses that are specific to the discipline • Electives Block – lists all courses that are counted as electives for the student’s major • In Progress Block – lists courses student is register in for the current semester • Insufficient Block – these are courses that cannot count toward the degree due to not being completed (withdrawn from) or the minimum grade was not achieved • Notes Block – any notes that have been entered by Advisors will be viewable here • Honors Block – contains the requirements for those participating in the University Honors program • Over the Limit Block – contains courses that do not fit into the degree plan The section below is from the Core Requirements Block. It shows that the COMPOSITION requirements has been fulfilled by ENGL 1311 and ENGL 1312 while the WORLD LITERATURE, FINE ARTS, INTRODUCTION TO PHILOSOPHY, RELIGIOUS QUEST, RELIGIOUS STUDIES, AND HISTORY have not been fulfilled as classes are still needed. Degree Audit CourseLink If you click on a hyperlinked course anywhere in the degree audit, it will bring up a block of information that shows the course prerequisite (if applicable), catalog description, and course information including the possible and suggested semesters that the courses are scheduled to be offered. Degree Audit Transfer Equivalency Information If you have transfer work, you can see how those courses applied to your degree audit. Each transfer course will show the originating institution, course title and course number below the UIW equivalency as shown in the screen shot below. You will also see a "T" in front of the actual grade, which represents the word "Transfer" and the letter grade you received at the sending institution. Degree Audit Exceptions Departments sometimes will substitute or waive a course requirement. Department heads and authorized designees may enter exceptions through the exceptions tab for their department’s majors, minors, and certificates only. They are not authorized to make exceptions to University degree requirements and/or general education. Those types of changes must be authorized by the corresponding authority or committee. Exceptions show in two places on the audit. The first is near the applicable course location. Included is who entered the exception, the date, and a description of the action taken. The second is an exception section at the bottom of the audit. This includes whether the exception is “enforced” or working. The primary reason one would not be enforced is that the student changed catalogs and/or programs and therefore the exception was broken. Each exception ties to a specific block, which is like an address based on the program and catalog identification of the block. Section 2: What-If Degree Audit A “what-if” degree audit allows the user to see what their degree audit would look like if they were to change programs or catalogs prior to formally requesting the change. Between the first and second block (below the ID block and above the format/degree progress block), there is an area where you can select the type of degree audit you want. Click on “What-If” Next, select the Campus, Level, Degree and Major you wish to use if the what-if audit. There is also the ability to add courses to the audit that you are thinking about taking in the future to see where they would fit. You can do this in the “Future Classes” section. You add the subject and number, and then click “Add.” There are checkboxes that are checked by default to indicate whether you wish to include in-progress (current semester) classes and pre-registered (future semester) classes. When finished, click the “Process” button to review the what-if degree audit. Future Classes (previously known as Look Ahead) The Future function allows students to select a course they would like to take and see where it might be applied on the degree audit or toward current degree enrollment. When utilizing this feature, you must ensure that "Use Current Curriculum" is selected when trying to determine where certain courses may populate on your degree evaluation. After adding the appropriate course subject and number, make sure to select "Process" to determine where the course will apply. Printing your Degree Evaluation If a student would like to print their degree evaluation for further review, they may do so at any time by selecting the "Print" icon in the upper right hand corner of the degree evaluation. When printing a degree evaluation, the preferred internet browser is Google Chrome. Helpful Tips: 1. Degree Works is an academic advising and degree audit tool that helps advisors and students track their degree progress in real-time. Degree Works does not replace the requirement to meet with your advisor. 2. The Responsive Dashboard includes quick access to useful links. They are located at the top of the page. 3. The block titled “Fall Through” replaces” “Courses Not Used” 4. Courses in-progress are listed in a separate block as is Over the Limit credits. 5. Over the limit credits refers to courses that are completed or transferred, and are not used toward the current degree program. The credits may exceed the allowable transferable credits or the courses are repeats. 6. Some commonly used tools have been relocated to the top right of the degree audit. The print, email and search icons are shown on the top right. For the printer click on the icon, the printer window will popup. 7. If Degree Works indicates a missing requirement for the student, an issue with the program, and/or the student's records, please contact the Registrar's Office to help resolve this issue. 8. If you run into a technical issue with Degree Works, please contact the Help Desk for assistance.

Degree Works 5.0.6 Upgrade - STAFF GUIDE

DEGREE AUDIT WORKSHEET OVERVIEW -The Degree Audit Worksheet has several sections: 1. Student Header 2. Print Audit or Contact a Student 3. GPA Calculator, Class History, and Notes 4. Degree Progress 5. Degree Audit Blocks 6. Legend STUDENT HEADER -The Student Header provides useful information regarding the student such as degree, major, minor, college, and advisor. Search for a Student in Degree Works -You can use the Student Header to search for other students within Degree Works. 1. Type the student's Banner ID in the Student ID field and select Enter. 2. If you do not know the student's Banner ID, select Advanced Search. 3. Search for the student by name or filter by degree, major, class, etc. When you have chosen the appropriate criteria, select Search. 4. A list of students will appear based on your criteria. Use the check boxes to select or deselect the students you want to view then click Select. 5. Use the Select Student drop-down to view the list of students. Select a student from the list. DEGREE PROGRESS The Degree Progress shows the percentage complete of the student's requirements and credits as well as their overall GPA. The Requirements progress will not always equal the Credits progress. Progress will not equal 100% until all of the courses are complete and graded. A graduating senior who has completed all credits and course requirements and is preparing for graduation will reach 98% until the grades are submitted at the end of the term. Format Selection The default format is Student View. You can change the format of the audit by selecting the Format drop-down. Student View - The default and most frequently used format. Displays a detailed view of the student's degree requirements. Graduation Checklist - Displays which courses fulfilled each requirement. Registration Checklist - Displays outstanding requirements and suggestions to fulfill them. In-Progress and Future Classes The audit displays in-progress and future classes and counts them toward the student's degree progress. Uncheck one or both of the boxes and select Refresh to view the student's progress without those classes. DEGREE AUDIT BLOCKS -The Degree Audit is divided into multiple sections called blocks. The blocks will show the student's progress towards their degree. Collapse and Expand Blocks -You can collapse the blocks for quick navigation through the audit. To collapse all of the blocks in the audit, select Collapse all. To expand all of the blocks in the audit, select Expand all. You can also use the arrows within each block to collapse and expand the block. Each block header includes the number of credits applied from that block, the catalog year, and if the requirements of the block have been completed. The first block is the Degree Overview. It shows a summary of the main components necessary to obtain the degree. The subsequent blocks show the credits that have been completed and how they have been completed. They also show incomplete requirements and instructions for how to complete them. Completed Requirements -The requirements that the student has completed are denoted by a green check mark. The course name, students grade, number of credits, and term the course was taken are to the right of the requirement. Incomplete Requirements - The requirements that a student has not completed are denoted by a red circle. The course that is still needed to satisfy the requirement is listed to the right. The @ symbol means any course number will satisfy the requirement. Course Information - To get more information about a course that will satisfy a requirement, select the name of the course. Note: The check mark icon next to the course name denotes a prerequisite is needed. The Course Information window will appear. You will see prerequisite information, course information, and the possible terms that the courses will be offered. The following blocks will display to only certain students based on program and courses that have been taken. • Electives Block – lists all courses that are counted as electives for the student’s major • In Progress Block – lists courses student is register in for the current semester • Insufficient Block – these are courses that cannot count toward the degree due to not being completed (withdrawn from) or the minimum grade was not achieved • Notes Block – any notes that have been entered by Advisors will be viewable here • Honors Block – contains the requirements for those participating in the University Honors program • Over the Limit Block – contains courses that do not fit into the degree plan LEGEND - At the bottom of the audit, you will see a legend that explains the icons found in the degree audit. PRINT A STUDENT'S DEGREE AUDIT Select the Print icon at the top of the Degree Audit Worksheet to print the student's audit. The print options will appear. Select the Email icon at the top of the Degree Audit Worksheet to contact the student. WHAT - IF ANALYSIS In the Responsive Dashboard, the Look Ahead tool has been combined with the What-If Analysis to improve efficiency in the user interface. The What-If Analysis allows you to apply student's courses to different majors and/or minors to see how they would affect their progress. In-progress and Preregistered classes are selected and will be applied to the analysis. If you do not want to include them, you can deselect the check boxes for these options. Use the drop-downs to select the appropriate information for the program and areas of study the student is considering. If needed, select Additional areas of study to add another major, minor, etc. Add future classes to see how individual courses might alter the student's progress in the new major. Future Classes - The Future Classes section in the What-If Analysis has replaced the Look Ahead tool. You can create a What-If Analysis to see if a course will meet a student's current program requirement. 1. Please make sure you select the Use current curriculum check box. 2. Enter the Subject and Number for the class. Select Add. 4. Add as many courses as you wish to view on the audit. Select Process. 5. The Student Audit will appear. Scroll through the audit to see where the courses appear and if they meet the student's program requirements. The content contained in the GPA calculator is provided for informational and planning purposes and is only an estimate. In the top right hand corner of the page is a print symbol that allows you to print the degree audit, an envelope that allows you to email your advisor, and the vertical ellipsis, or three dots. If you select the ellipsis it will display options such as GPA calculator class history, and notes. Class History - Displays a condensed list of courses by semester, that the student has completed and/or is scheduled to take. This section is for informational purposes only. Notes - The notes feature allows advisors to use predefined or personalized notes to help track conversations with students and document any advisor recommendations. Notes may be viewed by all advisors, which will be helpful if the student decides to change their program of study. IMPORTANT! Notes are considered part of the student's academic record (even if you check "Not available to student") and can be requested under FERPA. Notes are viewable by the student and any faculty/advisor/staff who have access to the student's audit in Degree Works. Notes should be limited to academic advising recommendations and must not include any personal or sensitive information. Helpful Tips: 1. Degree Works Upgrade: Between the 'Classic' and 'Responsive' Degree Works Dashboard
This upgrade includes new features for students to view their academic progress. This new Responsive Dashboard version brings a mobile friendly student dashboard with a fresh and clean look. This adaptable format displays appropriately across different devices and is ADA compliant for accessibility. NOTE: Mozilla Firefox or Microsoft Edge or Google Chrome are recommended browsers for Degree Works. Internet Explorer is no longer supported. Mac users are asked to use Firefox as the preferred browser for Degree Works to avoid access errors. Please make sure you are using the most up-to-date browser version as older versions can cause access issues. The guide below highlights important areas with a comparison of where they were found in the classic version of the degree audit versus the new responsive version. Student Header The student header provides useful information at the top of the degree audit for viewing. The student header in the classic dashboard is organized in three columns. It displays important student information. Classic Responsive Degree Requirements The Degree Requirements section lists requirements needed to complete a degree and can be found right below the Student Header in Classic and the Degree Progress section in responsive dashboard. In Responsive Dashboard the degree requirements block is formatted like the classic dashboard with a list of check boxes that state whether requirements have been fulfilled or not. The audit in Responsive Dashboard is still divided by blocks same as in the classic dashboard but now users will have the ability to collapse or expand sections for quick navigation to the block they are seeking. The rest of the degree audit is very similar on both dashboards. Classic Responsive Icons/Legend This new dashboard also comes with an updated Legend of icons that look slightly different from the classic dashboard as well as some being removed. The icons in the classic dashboard are squares while in the responsive dashboard are circles. The colors for each icon are similar in both versions. Requirements completed will show in green, requirements not complete will show in red, and requirements with classes in-progress will show in blue. When hovering over the icons in responsive dashboard, the alt-text for the icon displays The Degree block no longer has an Icon showing to the left of degree; Instead, the wording of the Icon displays within a color-coded box and appears to the right of the Degree. Classic Responsive Degree Progress Right below the Student Header in the academic audit you will find the student’s progress toward degree. In the classic view the progress toward degree is displayed as bars and in the responsive view is displayed as wheels. Classic Responsive Save PDF of Audit Same as in the classic dashboard, users can save an audit. However, the Save as PDF button has been removed in responsive. In Responsive Dashboard, the save audit option is shown with a printer icon located at the top right-side corner of the page. Classic Responsive Advisor Email In classic, a student could click on the advisor's name in the Student Header and could email the advisor. In responsive, the student can click on the email icon in top right and their advisors will appear in new window to select to email. Classic Responsive What-If and Look Ahead Same as in the classic dashboard, the What-if tool allows students to apply their courses to different majors and minors whether the courses have been completed or in-progress. In classic, the What If, What If History and Look Ahead are on left side of Degree Works. Look Ahead was a separate feature. In the new dashboard, the Look Ahead audit has been combined with the What-If audit to improve efficiency in the user interface. The What-If tab is to the right of the Academic tab. Entering coursework in Look Ahead is done the same way in responsive dashboard. The only difference is in classic the planned coursework in the Look Ahead audit appeared in bright blue font with a grade of PLAN. In responsive the grade of PLAN displays but it is not in bold blue font. Classic Responsive

Open your Windows Explorer (folder icon on the task drive) Right Click on This PC and select Map Network Drive: Select a drive (any letter) and type in the Folder field: \\uiw-sshfs\{your-username} Click Finish and window to should appear with connected drive. If it does not connect: Type on the Folder field: \\uiw-sshfs.ad.uiwtx.edu\{your-username} Please see screen shot on folder field....
